Work schedule (new interface)

Altegio introduces a new interface for configuring employee work schedules, making the process quicker and more flexible. You can now set up or edit schedules more efficiently with adjustable parameters and bulk settings.

There are several ways to assign schedules to employees:

New Interface: Go to Settings > Main Settings > Work Schedule (new).

Through Employees: Navigate to Settings > Main Settings > Staff.

Via the Appointment Calendar.

Using the Altegio Mobile App.

Old Interface: Access Settings > Main Settings > Work Schedule (old).

This article focuses on setting up work schedules using the new interface.

Adding a Work Schedule

Step 1: Filter Employees and Adjust Calendar View

Use filters to narrow down employees by roles, specializations, or schedule status. Choose between month or week views to display shift totals and working hours. Adjust these settings via the gear icon in the top right corner.

Step 2: Navigate to the Work Schedule Section

Go to Settings > Main Settings > Work Schedule.


Use navigation buttons to scroll through months or weeks. Click Today to return to the current date.

Export the schedule as a PDF for saving or printing.


Step 3: Filter Options

Click Filters in the top-left corner and apply multiple criteria:

Employee names and positions.
Specializations.
Deleted/Not deleted.
Dismissed/ Not dismissed.
Employees with or without schedules.


Filters help you quickly locate specific employees or groups.

 

Configuring Work Schedules

Step 1: Assign a Schedule

Click on a cell next to an employee's name to open the schedule setup panel.

Adjust settings for specific employees or groups.

Clear unsaved changes using the Cancel button.

Step 2: Use Templates

Without Template: Customize each day individually, ideal for irregular schedules.

Weekly Pattern: Select specific days and weeks to apply the schedule.

Shift-Based: Set patterns like 2/2 or 5/2 shifts.

Custom Template: Create unique templates with tailored patterns.

Templates simplify repetitive scheduling tasks.

Step 3: Select Schedule Type

Choose from:

Workday

Sick Leave

Vacation

Unpaid Leave

Paid Day Off

Absence

Custom schedule types for non-working days can also be added.

Adding Breaks

Click Add Break to include one or multiple breaks.

Breaks are shown in schedule cells; hovering over a cell displays their details.

Edit or delete breaks directly from the setup panel.

Exporting and Saving

Save the schedule by clicking Save in the bottom-right corner.

Export schedules in PDF format for individual or filtered employee groups.

Deleting a Work Schedule

Open the Work Schedule section and click on a filled cell.

Select Non-Working Day as the schedule type to delete.

Choose a specific range or template for batch deletions.

Save changes to confirm the removal.

Copying a Work Schedule

Click the three dots next to the employee whose schedule you want to copy.

Select Copy work schedule

Choose the target employees, and set the desired time period.

Optionally, copy breaks if they are identical.

Important Notes

Templates and Changes: Switching templates without saving will reset selected days.

Deleting Scheduled Days: If a day has existing bookings, you'll be prompted to reschedule or cancel them before deletion.

Copying Schedules: Changes to copied schedules cannot be undone.

This streamlined approach ensures efficient schedule management, whether for a single employee or an entire team.
