Creating a New Membership Type and Enabling Auto-Renewal

Altegio has 2 types of spaces: locations and chains. In the location, the menu sections on the left are highlighted in yellow, while chains are marked in purple color. Locations and chains have different sections.

Loyalty is configured in the chain interface.

To go to the chain interface, follow these steps:

1. Click on the location name in the upper left corner.
2. Select the chain you need from the drop-down list.

This guide will walk you through the process of creating a new membership type as a part of Loyalty section in the Altegio system. 

Step-by-Step Instructions

Navigate to the "Loyalty" section within the chain interface and select "Type of memberships" to open the membership creation interface.

Choose a membership category that best fits your offering:

Auto-renewal membership: A recurring service access with automatic renewal at each period's end. This way, payments are conveniently charged to the client's registered card.

Note
The auto-renewal membership type is available with AltPay payment method integrated and connected. The AltPay method can be connected in the Online sales>Settings section.

Connecting a Payment Method for Auto-Renewal Memberships

To connect the AltPay payment method to the Altegio system navigate to the chain interface, under the Online Sales section select Settings.

Navigate to the Payment tab:


Choose the Online payment option and locate the AltPay payment method below. Click the "Select and connect" button.

To connect AltPay and enable online payments you will need a Merchant ID that is a string of digits and letters.

To get your Merchant ID you have to leave a request in the Integrations section.

Go to location interface, Settings> Integrations. In the search field enter the AltPay keyword and click the Continue button.


Enter your details in the required fields and click the Save and send button.

Once connected you will se a green badge indicating that the integration took place successfully.

Enter your Merchant ID in the designated field to complete the setup.


Membership Settings

Standard membership: A fixed-term membership offering a specified number of services. Clients can renew the membership manually upon its expiration.

In the "Membership title" field, enter a name for your membership that clearly describes its benefits and purpose. For instance, Restorative massage.

Next, select the services included in the membership and the membership balance.
There are two types of membership balances: overall and separate.
• With an overall balance, one visit deducts from the membership, regardless of the service provided. • With a separate balance, one visit to the exact service that was provided will be debited from the membership.

When creating a membership type for a separate type of service, select “Separate” balance; to create a membership type with the total number of visits for various services, select “Overall”.


If you have selected the Overall type, indicate the number of visits available on the membership balance.

Next, from the drop-down list choose a service category and service name.



Click "+ Add a service" to include more services that will be part of this membership.
Alternatively, you can delete a service from membership by clicking on a trash can icon.

5. General Settings

Configure the general settings for the membership:

For auto-renewal memberships the following settings are available:

Duration: Specify the duration of the membership. You can choose the time unit (Day, Week, Month, Year). If you want the membership to be valid for an unlimited period, enter the value 0 in the “Duration” field.

Valid for locations: Specify the locations where the membership is valid. Use the "+ Add all locations" button to quickly add all locations available, or manually select the relevant locations from the drop-down.

Recalculate the service price when paying with membership: Enable this option if the service price should be recalculated when using the membership.

You can recalculate the cost of the service depending on the cost of the membership. As a rule, it turns out to be lower than in the price list, and this must be taken into account, for example, when calculating the salary.

How does recalculation of the cost of a subscription work:

Cost from the type of membership / Number of services in the membership = Cost of the service after recalculation.

8000/10=800 (cost of one service)


For standard memberships the following settings are available:

Membership cost: Enter the cost of the membership in the appropriate currency.

Duration: Specify the duration of the membership. You can choose the time unit (Day, Week, Month, Year). If you want the membership to be valid for an unlimited period, enter the value 0 in the “Duration” field.

Activate membership: Decide when the membership will be activated: on first visit or when sold.

Activate automatically on long non-attendance: Set whether the membership should automatically activate upon long non-attendance or not.

Indicate in which locations customers can change the membership balance and validity.

Allow freezing of membership: Decide if customers can freeze their membership.

Valid for locations: Specify the locations where the membership is valid. Use the "+ Add all locations" button to quickly add all locations available, or manually select the relevant locations from the drop-down.

6. Additional Standard Membership Settings

Allow membership sale without a code: Enable this option if you want to allow sales without a code.
Check the box if you want to allow the sale of a membership without a code. You will be able to create memberships that do not require you to assign a code to them when selling. Such memberships can only be used if a client was specified during the sale. A membership without a code after sale becomes personal and is linked to the number of the client who bought it. It can only be applied to that particular client.

8. Configuring Online Sales Widget

Configure the display of the membership in the online sales widget:

Online sales display name: Enter a name for how the membership will be displayed online.

Membership image: Upload an image that represents the membership. The maximum size is 12 MB, and the format should be 184×288.

Description: Provide a description that tells clients about the membership.

Membership cost: Enter the cost of the membership for the selected period that your clients will see in the online sales widget.

After configuring all the settings, click the "Save settings" button to create the new membership type.

After this the membership will be available in the Online Sales Widget. To check please navigate to the chain interface, Online Sales > Settings.

Choose the Widget tab.

Scroll down and click to open the widget preview.

Your membership will be available in the Online Sales Widget and visible to your clients for auto-renewal.


After clicking on the membership, the client will be redirected to a purchase page where they must enter their personal and payment details.


After the purchase, the membership will appear in the client’s widget, where they can see the linked card and cancel the auto-renewal if desired.

Immediately after the purchase, client will receive an email with a receipt. The email includes a button to cancel the membership as well.


Clients have an option to cancel their auto-renewal membership in the widget too.

After clicking the "Cancel automatic renewal" button they will see a modal window asking for their confirmation.

After the membership is cancelled, the status switches to Deactivated, but the membership remains usable until its expiration date.

After cancellation clients will receive an email about cancellation of their membership. Besides, three days before the withdrawal, clients will receive a letter stating that money will be withdrawn soon. This letter also provides an option to cancel the membership.
If the debiting from the linked card for membership fails due to a negative balance, clients will receive an email informing them about the unsuccessful transaction, and the membership will be canceled.

The same flow applies to the Aunio mobile app.
