Creating and configuring a new category of products

A ‘category’ is a group of products with common properties. For example, all Davines products are added to the ‘Davines’ category, all shampoos from different manufacturers to the ‘Shampoos’ category, etc.

By default, you’ll have the ‘Main products’ category created in Altegio for you. Categories can be added, edited, archived, and deleted.

A new category

1. Go to the Inventory Products section.

2. Click the Add a category button in the list of categories.

3. In the new window that opens add information about this category: add Name, select Parent category (meaning a folder into which this new category’s folder will be put into, making your new category a sub-category), SKU, and Comment.

4. Click Save.

Editing

You can edit information about all categories of products. To do this, select a category by clicking the Edit button next to its name and in the new window that opens edit Name, Parent category, SKU, and Comment, click Save.

Here you can also delete or archive a category of products. Archiving makes it possible not only to permanently delete a category, but to archive unused lists of products, and then either delete them or restore them if necessary.

Important

  • You can archive location-only products.
  • You cannot archive the only category you have.
  • You cannot archive a category if it contains products or another category in it.
  • You cannot archive products assigned to the bills of materials.
  • Archived products that were included in the payroll calculation will disappear from the payroll calculation.
  • Deleted categories and products will be restored into the Archive (contact Altegio Technical Support team for restoration).
  • You won’t be able to delete a category that contains products. Remove all products from a category before deleting it.

You can archive a category of products only if the following conditions are met:

  • The user has the right to Access to archiving and restoring products (this can be configured in the user’s card in the Settings System settings Users section in the Access Rights Inventory section).
  • This is not a chain category and it’s not assigned to another chain category.
  • This category of products isn’t deleted.
  • This category of products isn’t archived
  • There are no active subcategories or products in the category (only archived and deleted ones).
  • This category is not the only category you have.

To restore a category from your archive or permanently delete it, go to the Product Archive section (in the Action section on the left). In the Categories of products tab restore the categories one by one or select several categories (check the boxes) and click either the Restore Selected button or the Delete button. To return to the list of products click the Back to Products button.

You can restore a category of products only if the following conditions are met:

  • The user has the right to Access to archiving and restoring products (this can be configured in the user’s card in the Settings System settings Users section in the Access Rights Inventory section).
  • This is not a chain category and it’s not assigned to another chain category.
  • This category of products isn’t deleted.
  • This category of products is archived.
  • This category of products isn’t in the deleted category of products.
  • This category of products isn’t in the archived category of products.

NB

  1. Categories of all levels are sorted by their creation date - the very first one created will be at the top, below it - the second one, etc.
  2. Any category of products can be deleted (including the Main products category, which is created by default). However, you won’t be able to delete absolutely all categories of products in Altegio, at least one category must remain at any time.
