Client Database filters

In the Clients - Client Database section, you can use a range of filters to segment your clients. This will allow you to create lists of clients for SMS mailouts (only if you have an SMS provider connected) or to add them to a specific category.

Filter client information according to the parameters you need and then click on the Show button. To remove the filters, click on the bin button.

Filter types

You can use filters to sort your clients in three categories: by bookings, clients, and sales. To remove filters that you set for a single category, click the "Clear" button.

Bookings parameters:

Booking availability: This filter will help you find clients who have not made any bookings for the current month.

Booking status: This filter will help you find clients who missed their appointments without notifying you. Simply set the filter to "No Show".

Number of bookings: This filter will help you view clients who have made a specific number of bookings, which can be filtered by a range of numbers.

Period: This filter will help you find clients who have made or not made a booking during a specific time period.

Employee: This filter will help you find clients who have made bookings with a specific employee.

Services: This filter will help you find clients who have made bookings for specific services.

Cost of provided services: This filter will help you find clients who spend more than the average amount during their visits.

Clients parameters:

Gender: filter clients by gender, e.g., to send a targeted SMS campaign to male clients announcing a new barber at your salon.

Passteam: select clients with a Passteam card for a push notification campaign.

Mobile app: find clients who haven't installed your mobile app and send them a promotional message.

Customer category: filter clients in a specific category, e.g., Permanent, who have not visited your business recently.

Sold: find clients who have spent over a certain amount with you, such as 5,000 euros, and add them to the VIP category.

Received SMS mailing: filter clients who booked an appointment after receiving a promotional SMS campaign to measure its effectiveness.

Customer importance: target clients with a certain importance level for a promotional notification.

Birthday: find clients with upcoming birthdays and send them personalized messages.

Age: filter clients by age, based on the date of birth information in their client card.

Sales parameters:

  • Products filters will help you find clients who bought specific products or bought products on specific days.
  • Gift cards 

- Name will help you find clients who bought a specific gift card. 

- Usage will help you find clients who already used or are yet to use their gift card.

- Balance will help you find clients with a specific sum on their gift card balance (useful for multiple write-off gift cards). 

- Duration will help you find clients with gift cards that expire soon to send them SMS notification with a reminder.

- Date of sale will help you find clients who bought gift cards during a certain period.

  • Memberships 

- Name will help you find clients who bought a specific membership.

- Usage will help you find clients who already used or are yet to use their membership.

- Status will help you find clients with a certain membership status, e.g. expired membership.

- Freeze status will help you find clients with frozen memberships.

- Duration will help you find clients with memberships about to expire.

- Date of sale will help you find clients who bought their membership during a certain period.

- Remaining services will help you find clients who have a certain number of visits left on their membership.

Automatic segments

Segments are combinations of filters you can use to find clients fitting certain parameters quickly.

  • New - new clients who visited you during the last month.
  • Repeat - clients who made a repeat visit with you during the last month.
  • Expiring membership - this segment will help you quickly find clients with an expiring membership (either low number of visits left or expiration date approaching) and suggest they purchase a new membership or just inform them about expiration of their membership.

To apply a segment click the name of the segment needed and then click "Show".

Working with more than one filter simultaneously

You can use additional parameters to set the filters.

After you select at least one filter a plus button will appear. You can use either ‘And’ or ‘Or’ connective.

And’ connective

When using ‘And’ connective the system will find only clients who fit each filter parameter.

Or’ connective

When using ‘Or’ connective the system will find clients fitting at least one filter parameter.

Examples of using filters

Get a list of clients with birthdays next week.

  1. Set the Clients - Birthday - next week filter, then click Select.
  2. Click the Show button to view the results.

Find lost clients.

1. Set the Bookings - Booking availability - There are bookings filter. In the same column select the period before the lost period with the same duration as the latter.

Example:

Today is October 1.

Your lost period is 30 days.

In this case you need to find clients who visited you from August 2 to August 31.

2. Click the plus button and select ‘And’ connective. Add a second Bookings - Booking availability - No bookings filter. In the same column set the lost period.

Example:

Today is October 1.

Your lost period is 30 days.

You need to find clients who didn’t visit you from September 1 to September 30.

3. Click Show button.

When searching for lost clients you can also use Booking status filter:

Arrived status in case you need to find clients who made their booking and came in, No Show in case you need to find clients who made their booking but didn’t come in.

Find all clients with bookings for a single employee only.

1. Set the Bookings - Booking availability - There are bookings filter, click Select.

2. Set the Bookings - Employee - Name of the employee, click Select.

3. Click the plus button and select ‘And’ connective.

4. Set Bookings - Booking availability - No bookings as the second filter and click Select.

5. In the second filter set Bookings - Employee - All employees except the one you checked earlier, click Select.

6. Click the Show button to view the results.

Find clients who received SMS mail out in January or March.

  1. Set the Clients - Received SMS mailing - From January 1, 2022 to January 31, 2022, click Select.
  2. Click the plus button and select ‘Or’ connective.
  3. Set the second filter to Clients - Received SMS mailing - From March 1, 2022 to March 31, 2022, click "Select".
  4. Click the "Show" button to view the results.
